Keeping Conference Feedback Private Until You’re Ready to Release It

Feedback can be kept private until coaches are ready to release it. Here's how that works.

In some conferences, you may want time to reflect before sharing feedback with an educator. Proserva allows you to keep rubric notes and form responses private until you are ready to release them.

This article walks through how to:

  • Log feedback privately

  • Confirm what the educator sees

  • Release the feedback when ready

Why Keep Feedback Private?

During a conference, you might:

  • Jot down initial thoughts

  • Add rubric scores and comments

  • Complete a reflection form

By default, saved items are visible to the educator. Setting them to private gives you time to refine your feedback before sharing it.


Step 1: Add a Rubric or Form to the Conference

  1. Open the educator’s profile.

  2. Navigate to Conferences.

  3. Open the conference or create a new one.

  4. Select Add Rubric or Add Form.

  5. Choose the rubric or form you’d like to use.

This applies to any rubric or form you have access to.


Step 2: Set the Item to Private

Before saving:

  1. Locate the visibility setting.

  2. Change the item to Private.

  3. Add your notes, scores, or written feedback.

  4. Click Save.

While the conference may show as “In Progress,” the detailed rubric and form feedback will not be visible to the educator.

What the Educator Sees

When the educator logs in:

  • They will see that a conference exists.

  • If the conference is still in progress and not released, they will not see the detailed rubric scores or feedback.

This confirms your notes remain private until you choose to share them.


Step 3: Release the Feedback

When you are ready:

  1. Return to the conference.

  2. Review your rubric and form feedback.

  3. Click Release.

  4. Confirm the action.

Once released, the educator can:

  • Open the conference

  • View rubric scores

  • Read your written feedback

  • Access completed forms

Use the private setting when:

  • You want time to reflect after a meeting

  • You plan to revise language before sharing

  • You are gathering input over multiple days

This ensures feedback is clear, thoughtful, and ready for the educator to review.
